Join codes: let a crew sign itself up
Make one code for a new job, hand it out at orientation, and every new hire creates their own login with the right project, position and training.
When you win a job and have a crew to bring on, typing everyone's email is the slow way. A join code is one code for the whole crew: you make it, read it out or print it at orientation, and each person creates their own account with it.
- 1Make a code
On the Users page, press Join code. Give it a name if you like, choose the project the hires are for, and tick the positions they can choose from. You can set a last day it works and a limit on how many people can use it.
- 2Hand it out
Copy the code, copy a link that opens the join page with the code filled in, show a QR code, or download the orientation sheet: one printable page with the QR code, the code and step-by-step instructions, in English or French. Print it for orientation or attach it to your onboarding email.
- 3New hires join
Each person opens the app, chooses Join with a company code on the sign-in screen, enters the code, picks their position, and creates their login with their name, email, phone number and a password. They confirm their email and sign in.
- 4Training follows
They join as a worker, on the code's project, in the position they chose. A training task opens straight away for every ticket that project and position require, ready for them to upload their certificates.
Keeping it under control
- A join code can only ever make a worker. Promote anyone who needs more on the Users page afterwards.
- Revoke a code at any time and nobody new can use it. People who already joined keep their accounts.
- A code with a last day stops working after that day, in your organization's time zone. A code with a limit stops when that many people have joined.
- See who joined on each code, with the position they chose and the day they joined.
- A code never takes you past your plan's user limit. When every seat is taken, the next person is told to contact whoever gave them the code.
- Owners and administrators are the only people who can see or make codes.
Approving each new person
Turn on Approve each new person before they can sign in, in the Join codes section of the Users page, if you want to check everyone who joins. People who join with a code then wait at the top of that section until an owner or administrator approves or declines them, and owners and administrators get an email when someone is waiting. Their training tasks open when you approve them. Leave it off and people can sign in as soon as they confirm their email.
If someone picked the wrong position or mistyped their name or phone number, press Edit details on their card before you approve them. Correct what is wrong, then press Save and approve, or Save to approve them later. Fix the position here rather than after approving: their training tasks open for the position they hold at the moment you approve them.
Somebody who already has a TruStar Connect account from another company signs in and enters the code there, rather than making a second account. If you approve each person, they keep working at their other company until you do.
If your employer gave you a code, open TruStar Connect, choose Join with a company code on the sign-in screen, and follow the steps. If the code is refused, the screen says why; your supervisor can give you a new one.
