Importing your workforce
Bring your people across from the spreadsheet you already keep.
Import from file, on the Users page, brings your whole workforce across from whatever Excel or CSV you already use. There is no template to download and no reformatting to do.
- 1Drop in your file
Any .xlsx or .csv. Use the spreadsheet you already keep; there is no template and nothing to reformat. An old .xls from Excel 97-2003 needs saving as .xlsx first — the app will tell you if so.
- 2Check the columns
Each column is matched to the right field for you, with a confidence rating and a plain reason such as "Header reads Trade and the values are Welder and Labourer". Change any match that is wrong. Columns set to Do not import are left alone, and date or schedule columns are recognised and skipped.
- 3Review the people
Edit any name or email inline. Select several at once to assign a position, project or role in one go. Counters show how many will import, how many need attention, and how many are already in your organization.
- 4Import
It works through them in small groups, so a list of several hundred cannot time out. A row that fails costs that row and nothing else.
- 5Send the invitations
Nothing is emailed during the import. Send them when it suits, and each person gets a link to set their own password.
What is needed
A name and an email address are the only things required to set someone up. Separate first and last name columns are joined for you, and a name written surname first, such as "Smith, John", is turned the right way round.
People already in your organization
Anyone already here is flagged before the import runs, with the choice to skip them or update them from the spreadsheet, one at a time or all at once. An import never changes an existing person's access level.
Positions and projects
Positions and projects named in your spreadsheet that do not exist yet are listed, and can be created and assigned in one tap. Anything assigned during the import is applied the moment each person accepts their invitation, so their training requirements are right from day one.
Tip. Nothing is emailed during the import. You send the invitations when it suits, so a 300 person import does not fire 300 emails while you are still checking the result.
