Setting up your training program

Create courses and positions, then attach required training to each position.

Project requirements by position

A project can require extra training beyond the role requirements. Each course you add asks who it applies to: Everyone on the project, for something like a client site orientation, or Specific positions, for a supervisor competency or a ticket only the safety personnel need.

A worker with no position on file receives the everyone requirements only, since guessing at an unassigned worker's position would either invent a gap or hide a real one.

The training program is what turns scattered certificates into a living matrix. You define it once on the Organization page, then assign positions to people. Their positions decide what training they need.

Create your courses

  1. 1
    Open the Training Program section

You will find Training Courses and Positions side by side on the Organization page.

  2. 2
    Add each course you track

For example Fall Protection, H2S Alive, or First Aid. Give it a name and a short description.

  3. 3
Set a default validity in months

Optional. If a certification expires after three years, enter 36. The matrix uses this to flag records as expiring soon or expired automatically.

  4. 4
    Choose its standard credential

Optional. If the course is a recognised credential such as WHMIS, H2S Alive or Standard First Aid, choose it from the Standard credential list. One is suggested from the course name; change it if it is wrong.

The standard credential is what lets training count across companies. Somebody who also works for another company that uses TruStar Connect brings their approved records with them, and a card the other company issued for the same standard credential counts for your course, on your matrix and in their required training.

Create positions and attach required training

  1. 1
Add the positions in your organization

For example Journeyman Electrician, Field Supervisor, or General Labourer.

  2. 2
Attach the courses each position requires

Select the courses that someone in that position must hold. This is the link that drives the training matrix and the missing and expired flags.

Why positions, not people

Attaching requirements to a position means you set the rule once. Assign that position to ten people and all ten inherit the requirement. Change the requirement and everyone updates.

Project-specific training

  1. 1
    Open the Project-Specific Training area

It sits below Positions in the Training Program section. Your projects from Organization Structure are listed here.

  2. 2
Attach the courses a project requires

Some sites or clients require extra tickets such as a site orientation. Select them per project. These layer on top of each worker’s role requirements.

  3. 3
    See it everywhere

Project requirements show in the training matrix and in a Project-Specific Required Training section on each worker’s training page. They update when someone moves projects, and completed records always stay on file.

Tip. Tip: the organization settings sections collapse, so open just the area you are working on to keep the page tidy.
