New Worker Mentorship (SSW)
Track short service workers from hire through a signed agreement, competency evaluation, and graduation.
The New Worker Mentorship module tracks people who are new to your company from their hire date until they are signed off as competent. It pairs each new worker with a mentor, records a signed mentorship agreement, captures a competency evaluation, and ends with a supervisor graduation sign-off.
Enrolling a worker
Open the module and use Enroll worker, or pick a name from the New hires to enroll list, which suggests active workers hired within your standard mentorship window. Assign a mentor and a supervisor for the final sign-off, choose a project if the work is project based, and set the length (the default comes from your program settings).
Tick Experienced hire for someone new to you but experienced elsewhere. They can graduate early once the evaluation and sign-off are done, without waiting out the full period.
Agreement, notes, and evaluation
- Both the worker and the mentor sign the mentorship agreement in the app. If a worker has no login, a manager can capture the signature in person.
- Add progress notes through the period to record check-ins and coaching.
- The mentor completes the competency evaluation. The items are a template you can edit under Template and settings, adding your own items or changing the defaults.
Extending and graduating
If a worker needs more time, add days with a reason using Extend mentorship. When the agreement is signed, the evaluation marks the worker competent, and a supervisor or manager adds the graduation signature, the worker graduates and moves to the Graduated tab. Their training record then shows the mentorship and the date they graduated.
A green hard hat appears next to anyone in a mentorship in the Crew Scheduling matrix, each project shows how many new workers are in mentorship, and the module warns you when a crew has a high share of new workers. The mentor and supervisor also get an email when a mentorship is ending soon or is overdue.
Tip. Everyone can view the program. Owners, admins, and managers enroll workers, edit the template, and sign off graduations.
