Open Crew Scheduling

Crew Scheduling lives under Operations. You assign a worker a rotation by setting days on, days off, a shift, and a date range, and the app fills in every working day out to the end date. The whole crew shows in a matrix so you can scroll across the dates and see who is on at the same time.

Assign a rotation

  1. 1
    Open Assign rotation

Choose the worker and, optionally, the position, project, and site the rotation is for. Those drive the filters on the matrix.

  2. 2
    Set the pattern

Enter days on and days off (for example 14 and 7). Pick Day, Night, or Rotating. Rotating flips between day and night with each cycle, starting from the shift you choose.

  3. 3
    Set the dates

Pick a start and end date. Saving generates every working day in that range.

Adjust single days

Tap any day to change it. Switch it to day, night, travel, vacation, leave, or off, and add a note (for example travel arrangements). You can save the note and send the worker a notice by email at the same time. Days with a note and days the worker has been notified about are marked in the matrix.

Read the matrix

  • Each cell is colour-coded with an icon: sun for day, moon for night, plane for travel, palm for vacation, heart for leave.
  • The coverage strip at the top counts how many people are on day and on night for each date, so thin coverage is easy to spot.
  • Filter by position, project, or site, and search by name.
  • A warning on a worker means either a long run of consecutive on-days (fatigue) or a certification that expires inside the date range.

Tip. Use Export to Excel to download a branded, colour-coded copy of exactly what you have filtered, including a day and night coverage tally. Notes ride along as cell comments.

Who can do what

Everyone in your organization can view the schedule. Owners, admins, and managers create rotations, edit days, and send notices.
