Reading the matrix

Colour tells you the status and nothing else, so red always means a problem. Green is valid, amber expires within 30 days, and red is expired. A course that is required with nothing on file is drawn as a dashed outline with no fill, so a gap in the matrix looks like a gap.

Why a course is required is shown as a small grey letter instead: R for the role, P for the project, and R+P for both. It is deliberately colourless so it can never be read as a status.

The training matrix is a grid of your people against the courses they need, color coded so gaps jump out. It is built from the positions you assign to each person.

Each cell shows a worker’s status for a course.
  • Valid: the certification is current.
  • Expiring soon: within thirty days of expiry, so plan the refresh now.
  • Expired: past its validity and needs renewal.
  • Missing: required by the person’s position but not yet on record.
Role vs project requirements

A small dot marks why a course is required: red for a role (position) requirement and purple for a project requirement, with a split dot when both apply. The Excel export marks the same with (P) for project and (R+P) for role and project.

  1. 1
    Filter to what you need

Narrow by project to prepare for a specific job, or scan the whole organization.

  2. 2
    Export to Excel

Download a formatted spreadsheet with frozen headers, filters, and per cell status colors. It is one row per worker per project, which makes filtering clean for prequalification submissions.

Automatic gap chasing

Each day the system checks every worker against their required training. A missing or expiring required ticket becomes a task on their My Tasks page, and the worker and their supervisor receive one combined email listing everything that needs attention. New hires get a short grace period to upload their tickets first.

Seeing unexpected gaps

If someone shows missing or extra requirements, check their assigned positions on the Users page. The matrix expects exactly the courses their positions require.
