Toolbox talks, also called tailgate or crew talks, are short, regular safety conversations with your crew. TruStar Connect keeps a reusable library of in-depth talks and a dated record of every one you deliver, with attendance and photos, and exports a branded PDF ready for a COR audit.

Build your library

  • The Library tab holds reusable topics. Owners, admins, and managers can write their own, or tap Add starter topics to load a set of in-depth Canadian worksite talks, each written to fill a real 5 to 10 minute discussion.
  • Tap Generate with AI, type a topic, and the generator drafts a full talk for your business and jurisdiction: why it matters, the hazards, the controls, discussion questions, and key takeaways. Review and edit it before saving.
  • Each topic has a title, a category, an estimated length, a summary, and the talk content. Everything is editable, and deleting a topic never affects talks already delivered.

Deliver a talk

  • Anyone who runs a crew, supervisor level and up, can deliver a talk. Tap Deliver a talk, or Deliver this talk from a library topic to prefill it.
  • The topic box searches your library as you type. Pick a talk from the list and its talking points come with it; type something that is not in the library and it is simply your own topic, with whatever you covered recorded in the notes box.
  • Open Talking points to read them to the crew, and edit them there if the discussion went somewhere else or half the list did not apply to this job. Your edits are saved with that talk only; the copy in your library stays as it was for the next person.
  • Pick the project first. The attendance list then loads that project’s crew, with everyone preselected, and you untick anyone who was not there. You can always add subcontractors or visitors by name.
  • The talk records the GPS location and the weather on site automatically, and the weather shows at the top of the talking points so the crew can factor it in.
  • Capture signatures on the spot: tap Sign next to each person and pass the device around. Signatures become part of the COR record and the PDF. Then attach photos, add notes, and save.

Assign a talk to one or more facilitators

  • From a library topic, tap Assign. Pick the project and the facilitator list shows the crew assigned to it, listed by role with senior people first.
  • Select one or more facilitators. For a project with several work groups, check off each lead who will run their own meeting. Each one gets a separate copy in their Assigned to me tab and an email reminder, so nothing slips.
  • Set a delivery date and assign. Each facilitator opens the Assigned to me tab, taps Deliver, captures their own work group’s attendance and photos, and submits. Every finished record lands in History and Meeting Minutes like any other.

Export a PDF

  • Open any delivered talk and tap Download PDF for a clean, branded record with your company logo, the talk content, the attendance, and the photos, the same look as your other TruStar Connect reports.

Add signatures or fix a talk afterward

  • For 24 hours after a talk is submitted, open it from the History tab and tap Edit to add a worker who signed late, capture more signatures, or correct a detail.
  • The original delivery time, GPS, and weather are kept. Anyone you add late is time-stamped as added after submission, on both the record and the PDF, so the audit trail is clear. After 24 hours the record locks automatically and shows a Locked note.
Where delivered talks live

Every submitted toolbox talk automatically appears in the Documents area under Meeting Minutes, alongside your safety meeting records, so your COR evidence is all in one place.

Tip. The library, full history, and delivery all work offline. Run a talk with no signal: attendance and signatures save on the device and upload automatically when you reconnect. Generating a new talk with AI, adding photos, and editing a delivered talk still need a connection.
