Inspections & Forms: the four ways to build

Build by hand, scan a paper form, or generate from a description, then organize with folders.

Inspections & Forms is your digital form library. It arrives already stocked with the recommended COR-ready forms, and you can edit any of them or add your own. Submissions are searchable, exportable to PDF, and feed your corrective actions.

The recommended forms are already there

A new workspace starts with the standard set in a Recommended Forms folder: vehicle and mobile equipment inspections, a worksite inspection, an FLHA, a safety meeting record, orientation, harness, fire extinguisher, first aid, eyewash, and an emergency drill record. Edit them to match how you work, rename fields, add or remove items.

Recommended forms are hidden, not deleted

Other parts of the platform point at these forms. Equipment QR tags open the vehicle and mobile equipment inspections, for example, so recommended forms have no delete option at all. If one does not apply to your organization, hide it instead.

Hiding forms you do not use

An owner or admin can hide any form with the eye icon. Hidden forms move to the Hidden tab, out of the forms list, the offline copy, and every picker, so crews only see what applies to them. Nothing is lost, and Show again puts a form straight back.

Deleting and restoring

Deleting a form moves it to the Deleted tab rather than removing it. From there you can restore it, or permanently delete it if it is one of your own, one at a time or all at once. Completed submissions are always kept either way.

Shortcuts for the forms you use daily

Tap the star on any form to add it to your dashboard shortcuts, and do the same on a piece of equipment from its page. Shortcuts are personal: they appear at the top of your own dashboard only.

Three ways to create a template

  1. 1
    Build it by hand

Use the form builder to add sections and fields. Field types include text, number, date, time, checkbox, select, pass or fail, rating, signature, photo, GPS, project, and worker. You can add conditional logic so questions appear only when relevant, and toggle supervisor approval and signatures.

  2. 2
    Scan a paper form

Photograph an existing paper form and the scan tool reads it with Claude vision, then builds a matching digital template you can refine. Images are downscaled on your device first to keep it fast.

  3. 3
    Generate from a description

Describe the inspection you need in plain language and the generator drafts a full template using safety specific prompting. Tweak it in the builder before publishing.

Organize and reuse

  • Group templates into folders so crews find the right one quickly.
  • Tag a template to a project when it only applies there.
  • Edit a template any time. Past submissions keep the version they were filled on.
  • Set a template COR category so its submissions surface in the matching Documents folder, for example inspections, meetings, or hazard assessments.

Recommended forms

  • A starter set of COR-ready templates is created automatically the first time you open your new workspace, so the forms are there waiting for you with nothing to generate: a Safety Meeting, a Field-Level Hazard Assessment, a Light-Duty Vehicle Inspection, a Mobile Equipment Inspection, a General Worksite Inspection, a New Worker and Site Orientation Checklist, a Fall Protection / Harness Inspection, a Monthly Fire Extinguisher Inspection, a Monthly First Aid Kit Inspection, a Monthly Eyewash Station Inspection, and an Emergency Drill Record. They sit in a "Recommended Forms" folder. Toolbox talks now have their own dedicated area under Safety, separate from forms.
  • The "Recommended forms" option in the New Form menu recreates any of these you have deleted. It skips ones you already have by name, so it only fills gaps and never overwrites your edits.
  • The Light-Duty Vehicle Inspection and the Mobile Equipment Inspection both include an Equipment field, so the person filling one in picks the unit being inspected and any failed item raises a deficiency on that asset, routed to its equipment manager. Use the Mobile Equipment Inspection for forklifts, loaders, excavators, and similar units.
  • The recommended FLHA is lean by design. It uses the Task Hazard Selector for hazards and controls, captures workers and project, and is automatically date, time, and location stamped at submission, so there are no redundant fields to fill. Each worker on the task signs off before it is submitted.

Duplicating a form

  • Use the copy button on any form to duplicate it exactly, with " - copy" added to the title. It is the fastest way to build a new form that shares the layout of one you already have, then tweak it.
  • The AI form builder knows about the Equipment field too, so when you describe a vehicle or equipment inspection it can add an asset selector for you.

Other and weather

  • Any multi-select question, like PPE, can include an "Other" option that opens a text box for items not on the list. Turn it on for a field in the builder.
  • When a form is submitted with location captured, the conditions on site and the day's forecast are recorded on the submission and shown on screen and in the PDF, which is useful evidence for weather sensitive work.
Built from real complaints

Our forms were designed against common frustrations with other tools: submissions you can edit, strong corrective action tracking, better analytics, and offline support are all first class here.

Works offline

Crews can complete and submit any form or inspection with no connection. Open the Forms list once while online and the whole list, every form, and every folder are saved for offline use, so the list itself opens with no signal and you do not have to open each form first. Submissions save on the device, with photos, and upload automatically once back online. The only step that needs a connection is the AI hazard suggestion on the FLHA; hazards can still be added by hand offline.

Tip. Start by scanning the paper forms you already use. It is the fastest way to go digital without retyping anything.
