Open Reports

Reports lives under Analytics, and the same builder and list appear under Settings in the Reports & language area. Build as many reports as you need, of any type, on any schedule, covering the whole organization or a single project. Each one arrives by email as a PDF.

Building a report

  1. 1
    Choose the report type

Tap New report. The ten types are grouped by what they answer, and each shows a one line summary of what a reader learns from it.

  2. 2
    Name it

Optional. Leave it blank and it takes a default that includes the scope, such as "Safety Review · Kearl Project". Give it your own name if you plan to run more than one of the same type, so you can tell them apart later. The name is the PDF title, the email subject line, and how it appears in your list.

  3. 3
    Choose what it covers

The whole organization, or a single project. A project scoped report filters every figure to that project.

  4. 4
    Choose the reporting period

The previous week, month or quarter, year to date, all time, or a rolling number of weeks or months. Periods line up with whole calendar units, so the previous month means all of last month rather than the last thirty days.

  5. 5
    Choose how often it arrives

Daily, weekly, every two weeks, monthly, quarterly, or a custom schedule such as the 15th of every month or every three weeks on a Tuesday. Reports send at 6am in your organization’s time zone.

  6. 6
    Choose who receives it

Pick people from your team, type email addresses directly, or send to everyone in the organization or everyone on the project. Then save, and it starts on its schedule.

Period and schedule are separate

What a report covers is a different decision from how often it sends. A monthly board pack can cover the year so far rather than just the last thirty days.

Report types

  • Safety Review: the overall picture, with year to date figures and a three year trend.
  • Observations: what crews are reporting, by type, area and over time.
  • Corrective Actions: open, overdue and closed actions, with effectiveness reviews.
  • Leading vs Lagging: proactive activity set against actual incidents.
  • Inspections & Form Completion: how many of each chosen form each person completed. Pick exactly which forms to measure, and each gets its own section in the PDF.
  • Short Service Worker: current mentorships, mentors, and time remaining.
  • Equipment & Assets: open issues, service due, and anything past its interval.
  • Training & Certifications: expired tickets, certificates required but never entered, and renewals in the next 30 days.
  • Subcontractor Compliance: compliance by subcontractor, document status and expiries.
  • COR & SECOR Readiness: your current score by element, what is outstanding, and recommended next steps.

Recipients

Choose people from your team, type email addresses directly, or send to everyone in the organization or everyone on the project. The two group options are worked out fresh each time the report sends, so a new hire is included automatically and anyone deactivated drops off. Only active members appear in the picker.

Archive

The Archive tab keeps the original PDF of every report that has gone out, so you can reopen exactly what somebody received last quarter rather than regenerating something similar from today's data. Reports already sent keep the name they had at the time.

Tip. Send now on any report generates and delivers it immediately using the same process as the schedule, so what you check by hand is what your recipients receive. It does not disturb the next scheduled send.

An empty section means empty

If a report cannot read some of its data, it fails and tells you, rather than printing that section with nothing in it. A blank Training and Certifications section means nobody is missing a certificate — it never means the figures could not be worked out.
